We are seeking a full-time Outreach Office Coordinator to support the work of Our United Villages. We want to bring aboard someone who is outgoing, enjoys working as a team and has a passion for engaging diverse communities. This person will have grace and humor under pressure, great organizational skills, and is computer savvy. This position includes everything from welcoming guests, creating outreach materials, maintaining the website, to coordinating event logistics.

Job Purpose: Full time position to develop, establish and maintain functions that keep an inspirational small office running smoothly, and support the community outreach and enhancement work of Our United Villages (OUV).

PRIMARY RESPONSIBILITIES AND DUTIES:
Maintain Office Functions:

• general clerical support to help keep the office running smoothly during operating hours
• maintain and update the website
• welcome guests to the office
• update community contacts database and files
• answer phones, check voicemail, and take messages
• schedule meetings and maintain office calendar
• respond to general inquiries from email
• coordinate OUV committee meetings and logistical support
• take minutes and distribute appropriately for planning sessions and meetings

Designing Marketing/Outreach Materials:
• develop drafts of materials for publications and community presentations
• create publications such as brochures, flyers, postcards, posters, visitor packets, etc.
• contribute to and compile OUV monthly activity reports for board of directors
• articulate the mission, vision, and activities internally and to the public
• coordinate with mailing and printing companies

Keep Office Supplies and Computer Equipment Operational:
• call for repairs and replace/update equipment as needed
• establish office procedures for using equipment, and familiarize co-workers with functions of same
• help to create office systems and procedures
• monitor needs of office supplies and order/stock accordingly

Establishes and Contributes to Outreach Structure and Efforts:
• assist staff in fulfilling outreach goals and participate in projects and events
• identify with co-workers short-term and long-term goals for outreach
• develop, maintain and update standard operating procedures for outreach department

Coordinate Event Logistics:
• research neighborhood history, demographics, assets, and resources
• research meeting spaces throughout neighborhoods
• locate and coordinate certified child care providers
• schedule and confirm locations of events and presentations
• order and coordinate refreshments for events

Maintain a Healthy & Productive Work Environment:
• foster a spirit of cooperation
• maintain open lines of communication with all co-workers
• actively participate in staff meetings and committees/activities as requested
• contribute to a safe and clean work environment by practicing written and verbal procedures and by adhering to Our United Villages workplace rules, regulations and Employee Handbook guidelines.
• promote a healthy and safe work environment by coordinating and cooperating with co-workers.

Expand Professional Knowledge:
• research possible outside links that could provide useful information in conducting OUV outreach work and share summaries with co-workers
• review work-related publications
• attend work-related educational workshops or training

Contribute to the efforts of Our United Villages and The Rebuilding Center by accomplishing all related tasks as needed.

QUALIFICATIONS:
• Knowledge and experience in Microsoft Word, Excel, Illustrator, InDesign, PowerPoint and DreamWeaver.
• Experience in designing and creating marketing materials and/or websites.
• Ability to maintain all aspects of office functions, systems, and procedures.
• Excellent written and oral skills, ability to organize and present information in a clear and concise manner.
• Ability to work as a team and practice consensus-style decision-making.
• Excellent organizational and time management skills.
• Ability to work occasional evenings and weekends.
• Down-to-earth, flexible, resilient, hard-working, caring, and a sense of humor.
• Respect for all people.
• A desire to perform selfless work in the communities’ interest.

Preferred skills:
• Resides in inner North/Northeast Portland.
• Bi-lingual.
• Familiarity with community resources.
• Experience in coordinating event logistics.

Compensation:
Hourly-rate based on experience. Includes full medical and dental benefits after 90 days of employment.
